About the event

Filosoc 2019 is starting to wind down, but we have a couple of important things that we need to get done for next year! For this GM, we will be voting on several constitutional amendments regarding new executive roles for next year.

Please come! It'll be fun and we'll have free snacks for you :D 

AGENDA OF GENERAL MEETING OF the Sydney Filipino Society TO BE HELD AT 3:00 PM 17 October 2019 AT the International Student Lounge

1. OPENING AND WELCOME

2. APOLOGIES AND LEAVES OF ABSENCE

3. CONSTITUTIONAL AMENDMENTS - The following amendments to the constitution are proposed:

A. 2.3 The Society will undertake the following activities to achieve its aims: a. Integration a. Salubong “Welcome Session”, a semestral welcome orientation for new Filipino students at the University of Sydney b. Socio-Cultural a. Philippine Cultural Appreciation Celebrations • Philippine Sportsfest • Philippine Food Fiesta • Karaoke Night • Philippine Cinema Night c. Academic a. Sydney Philippine Research Conference b. Kapihan “Coffee Sessions”, mini-talks from guest speakers d. Alumni Affairs a. University of Sydney alumni gatherings e. And other similar activities aligned to the aims of the Society

Amend to:

2.3 The Society will achieve its aims through undertaking certain activities. Mandatory events for each semester are noted as such: I. Mandatory Events: Integration a. Salubong “Welcome Session”, a semestral welcome orientation for new Filipino students at the University of Sydney held once at the beginning of each semester. b. Filosoc’s Got Talent, a talent show featuring members and other guests of the Sydney Filipino Society, held once every year. II. Socio-Cultural a. Philippine Cultural Appreciation Celebrations such as but not limited to: • Philippine Sportsfest • Philippine Food Fiesta • Karaoke Night • Philippine Cinema Night III. Academic activities such as but not limited to: a. Sydney Philippine Research Conference b. Kapihan “Coffee Sessions”, mini-talks from guest speakers IV. Alumni Affairs such as but not limited to: a. University of Sydney alumni gatherings And other similar activities aligned to the aims of the Society

B. 4.1 The Society shall have an Executive consisting of: i) A President ii) Four Vice Presidents for: a. Undergraduate Affairs b. Postgraduate Affairs c. Alumni Affairs d. Partnerships iii) A Secretary iv) A Treasurer v) Up to five (5) General Executives

Amend to:

4.1 The Society shall have an Executive consisting of: i. A President ii. Four Vice Presidents for: a. Undergraduate Affairs b. Postgraduate Affairs c. Communications d. Partnerships iii) A Secretary iii) A Treasurer iv) An Assistant Treasurer v) Up to five (5) General Executives

C. 5.2 The Vice-Presidents shall: i) Deputise for the President. ii) Spearhead the enlistment of and manage relationships with: a) Undergraduate members b) Postgraduate members c) Alumni members d) Partners

Amend to:

5.2 The Vice-Presidents shall: i) Deputise for the President. ii) Spearhead the enlistment of and manage relationships with: a) Undergraduate members b) Postgraduate members c) Online inquirers d) Partners

D. 5.4 The Secretary shall:

i) Conduct the correspondence of the Society. ii) Book meeting rooms for the Society. iii) Keep minutes of the proceedings of all Society meetings. iv) Maintain the records and documents of the Society. v) Maintain a list of current Members, in accordance with University of Sydney Union Guidelines. vi) Maintain the Society’s registration with The University of Sydney Union.

Amend to:

5.3 The Secretary shall: i) Conduct the correspondence of the Society. ii) Book meeting rooms for the Society. iii) Keep minutes of the proceedings of all Society meetings. iv) Maintain the records and documents of the Society. v) Maintain a list of current Members, in accordance with University of Sydney Union Guidelines. vi) Maintain the Society’s registration with The University of Sydney Union. vii) Guide and assist the VP of Communications.

E. 5.3 The Treasurer shall: i) Maintain the Society’s finances in accordance with the handbooks produced by the Clubs & Societies Office of The University of Sydney Union. ii) Present to the Annual General Meeting of the Society a report detailing the financial activity and status of the Society. iii) Ensure an adequate handover, including any documents and materials, to the following Executive.

Amend to:

5.4 The Treasurer shall: i) Maintain the Society’s finances in accordance with the handbooks produced by the Clubs & Societies Office of The University of Sydney Union. ii) Present to the Annual General Meeting of the Society a report detailing the financial activity and status of the Society. iii) Ensure an adequate handover, including any documents and materials, to the following Executive. iv) Train the Assistant Treasurer in all of the above duties.

F. New Clause: 5.5 The Assistant Treasurer shall: i) Deputise for the Treasurer. ii) Assist the Treasurer in their duties.
